Vaga – Protection Administrative Assistant

The International Committee of the Red Cross (ICRC), based in Geneva, is a humanitarian organization that provides protection and assistance to people affected by armed conflict and other situations of violence. It employs more than 20,000 staff and is present in 80 countries. The ICRC regional Sub Delegation in Maputo is looking for a suitable candidate to fill the following vacancy: 01 (one) Protection Assistant

Purpose:

The Protection Administrative Assistant 2 provides complex secretarial and/or administrative support within the Protection department of the ICRC Delegation in Maputo. She/he supports in the running of the Protection Office: archiving/filing of Protection documents and carrying out administrative tasks to ensure a proper functioning of the Protection Office.

Functional Responsibilities:

  • Updates and retrieves data in/from specialized tools and databases.
  • Creates and maintains paper or electronic files up to date.
  • Follow-up on specific processes.
  • Independently drafts and finalizes correspondence, internal presentations, minutes of meeting and other documents, shares information among users according to the established confidentiality levels.
  • Assists with organizing seminars, training sessions and workshops; liaises with internal and external contacts and service providers related to their work and follows up on expenses.
  • Updates the timeline, tables and charts, schedule and other tools and ensures invoices are followed up on.
  • Contributes to producing tools adapted to the protection unit’s needs.
  • Applies information-management instructions and ensures compliance with procedures, including in terms of user training (practices and tools) where needed.
  • Keeps files up-to-date and ensures that records are managed properly.
  • Prepares for meetings by setting up rooms and materials, including technical set-up for conference calls, presentations and video conferences.
  • Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents, shares information among users.
  • Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks, sending and receiving protection bordereaux
  • Ensures compliance with established internal and external needs and regulations.
  • Contributes to the daily organization of the Protection Office.
  • Contributes to the Protection physical and electronic filing.

Profile – Minimum required and Experience:

  • High school diploma or equivalent training.
  • Five years’ experience in a secretarial position, preferably within the ICRC.
  • Excellent Command (Written and Spoken) of English and Portuguese
  • Computer skills, including a good command of Microsoft Office suite, SharePoint and IBM Lotus Notes.
  • Ability to work within a diverse and multi-cultural team.
  • Ability to manage diverse files in a multi-cultural and regional working environment.
  • Ability to work efficiently across multiple priorities and people.
